This company is looking for a motivated, professional and capable executive management office official who can play a key role in improving the efficiency of the organization by effectively managing the affairs of the management office and supporting the leadership team. This position requires an efficient person with high skills in managing office affairs, high level communication, attention to detail, maintaining perfect organizational processes and committed to complying with professional principles with full mastery of the company's internal management, following up on approvals and monitoring implementation. Description of responsibilities:
Internal management of the company: supervision and coordination of all administrative and operational affairs of the management office in order to create an efficient and professional environment.
Process improvement: continuous assessment of office systems and providing suggestions and implementing solutions to improve efficiency and productivity.
Problem solving: identifying and solving management office problems independently and with a strategic approach to improve office performance.
Reporting and presenting work progress: providing periodic reports to senior management regarding the status of approvals and assigned tasks.
Creating effective internal and external communication: interacting with different units and creating coordination between departments in order to facilitate affairs and improve the efficiency of the organization.
Carrying out archiving and record keeping tasks: complete management of records and archiving of organizational documents and supervision of secure access to information.
Executive Support: Provide administrative support to executive management including scheduling, coordinating meetings, and preparing reports and presentations.
Adherence to laws and policies: Collaborate with the HR department to keep office policies up to date and ensure compliance with organizational standards.
Management of priorities: perfect accompaniment with executive management in projects with the ability to manage priorities and perform tasks accurately and quickly.
Qualifying conditions:
Desired gender: female.
Maximum age: 35 years.
At least five years of related experience in managing executive offices at the senior level and large organizations.
Minimum Bachelor's degree (preferably in management, administration or other related field).
Complete mastery of professional typing with high speed and accuracy.
Familiarity with Microsoft Office software and electronic filing systems.
Familiarity with office management software.
Proficient in English.
Proficient in writing official letters, preparing drafts, and typing management letters.
Master the principles and standards of administrative procedures and how to hold official meetings and events.
Proficient in the principles of the secretariat and filing of documents and documents in electronic and paper form.
Careful attention to detail to ensure accuracy in tasks such as setting appointments, following up on approvals closely and providing regular reports to management in order to achieve set goals.
