IT Procurement Specialist

Request Management:

• Collect and review procurement requests from the ticketing system.
• Analyze and understand the technical and business requirements for each request.

Sourcing and Quotation:

• Conduct sourcing activities to identify potential suppliers and vendors.
• Obtain and evaluate quotations based on Total Cost of Ownership (TCO), quality, Pay and delivery timelines.
• Negotiate with suppliers to secure favorable terms and conditions, including pricing, warranties, and service-level agreements (SLAs).

Documentation and Compliance:

• Create and maintain a dedicated folder for each procurement request, ensuring all related documents are stored securely.
• Ensure compliance with company procurement policies and thresholds.

Approval and Payment Coordination:

• Submit quotations and procurement details to the IT Procurement Manager for approval.
• Coordinate with finance teams across group companies to initiate and track payments.
• Follow up with finance teams to ensure timely payment and obtain payment receipts.

Supplier and Delivery Coordination:

• Share payment receipts with suppliers to confirm payment and initiate the delivery process.
• Coordinate with suppliers and internal warehouse to ensure timely and accurate delivery of goods.

Reporting and Continuous Improvement:

• Maintain accurate records of all procurement activities in the P2P (Procure-to-Pay) file and provide regular updates to the IT Procurement Manager.
• Identify opportunities for process improvement, cost savings, and supplier performance optimization.

Requirements:

• Bachelor’s degree in Business Administration, Supply Chain Management, IT, or a related field.
• Minimum of 2-3 years of experience in IT procurement or a similar role, preferably
  within a multi-company environment
• Proficiency in procurement tools and software (e.g., Manage Engine, ERP systems).
• Strong understanding of IT products and services (EUDs, internet services, IT infrastructure).
• Solid knowledge of procurement processes, including sourcing, vendor management, and
  contract negotiation
