Description of duties:
Management and follow-up of applicant files:
Providing accurate and efficient advice to members and applicants according to the guidelines of the association.
Managing and registering applicants' documents and scanning them in the relevant systems with high accuracy.
Accurate and continuous review of documents and conversion of solar dates to Gregorian.
Communication with applicants and members:
Establishing regular and effective communication with applicants to complete the documents and follow the process of the cases until finalization.
Responding accurately, patiently and regularly to applicants' calls and emails.
Preparing and completing the related forms in English and following all the steps until the files are finalized.
Management of meetings and schedules:
Arranging and coordinating CEO meetings with internal and external applicants through tools such as Telegram and Google Meet.
Follow up and coordinate meetings and appointments and prepare required reports.
Executive coordination:
Drafting contracts and documents for applicants, tracking payments and closely controlling their details.
Updating and adapting documents to changes in laws and regulations.
Accurate management of schedules and ensuring timely completion of all assigned tasks.
Working hours and days:
Saturday to Wednesday from 9:30 am to 6 pm; Thursdays from 9:30 am to 2 pm.
Skills and Abilities:
High public relations: the ability to communicate effectively and friendly with internal and external members and applicants and provide quality services.
English Language Proficiency: Ability to write and understand official correspondence in English, especially in legal and business fields.
Software skills: complete mastery of Microsoft Office software (Word, Excel) and familiarity with Persian CRM software to record and track information accurately.
Attention to detail: ability to record and track information and manage files with high precision.
Teamwork spirit: Ability to work effectively with the team and coordinate with other departments to achieve common goals.
Time management and priorities: Ability to manage multiple tasks and projects simultaneously and set schedules effectively and accurately.
Project-oriented ability: the ability to effectively implement and manage multiple projects at the same time and handle all the details of the projects until their final completion.
Relevant work experience: At least three years of work experience in administrative, executive or related fields.
