Description of duties:
Working with Persian CRM software:
Registration of all information of members and applicants in the customer relationship management system (CRM) in Farsi language.
Recording of all meetings, correspondence and negotiations, as well as tracking dates related to meetings and calls.
Recording the information of all the classes of the educational department, the status of payments and tracking the collection of claims.
Sending follow-up reminders to members and applicants via WhatsApp and email.
Communication with the applicants of the association:
Effective communication with members and applicants and inviting them to the Tehran office to conclude contracts and obtain signature certificates in accordance with the association's procedures.
Answering the questions of applicants in the field of community services and guiding them in doing things.
Following up on the affairs of each applicant from the registration stage to the complete completion of applications.
Preparation and arrangement of administrative letters:
Writing and sending official and specialized letters (Letter of Support) in English and Farsi in standard formats and with association letterhead.
Archiving of all sent and received letters.
Session management:
Arranging CEO meetings in Telegram and online tools such as Google Meet and informing members.
Follow up the results of the meetings and submit reports to the CEO.
Recording daily reports and constant communication with the CEO to provide reports.
Tracking of deposits and memberships:
Tracking the deposits of applicants and members in different systems.
Registering people's information in CRM software, Excel and members' WhatsApp group.
Sending welcome email and creating personal files for applicants in cloud storage systems (Pcloud).
Contract renewal management:
Setting reminders for renewal of contracts in CRM software and sending renewal notices to members via WhatsApp and email.
Answering calls:
Answering incoming calls (landline and mobile phone) and continuously checking office WhatsApp messages.
Coordination of conferences and webinars:
Necessary arrangements for holding conferences and webinars, including sending documents and books to participants.
Coordination of sending books:
Coordinating with the office courier to send books ordered from the website or by phone.
Continuous communication with community members:
Sending regular letters to internal and external members and receiving feedback to forward to the CEO.
Terms of cooperation:
Working hours and days: Saturday to Wednesday from 9:30 am to 6 pm; Thursdays from 9:30 am to 2 pm.
Work place: Shahid Kolahdoz St. (Dolat), intersection of Kaveh Blvd.
Social security insurance: according to the law after passing the trial period.
