Job Title: Secretary & Assistant Location: Remote – Canada Time (EST) Monday to Friday (Saturdays and Sundays are holidays).
Work hours: 8:00 AM – 5:00 PM EST (Please note this corresponds to Tehran time: 4:30 PM – 1:30 AM) This is a contract-based position

About the Role: We are looking for a highly motivated and proactive Secretary & Assistant to join our team. This role requires a dedicated individual who will support the leadership team and ensure smooth day-to-day operations. You will work remotely, managing schedules, coordinating meetings, handling communication, and supporting various administrative tasks. The ideal candidate will be tech-savvy, bilingual, highly organized, and passionate about learning new technologies.
Key Responsibilities:
• Act as the primary point of contact for all internal and external communications.
• Manage calendars, coordinate meetings, and schedule appointments across multiple
time zones.
• Organize documents, files, and records with utmost attention to detail.
• Use AI tools, especially ChatGPT, for administrative tasks and report generation.
• Create and manage reports and presentations using Word, Excel, and PowerPoint.
• Handle data entry and update company records in various systems.
• Assist in organizing company events and other administrative duties as required.
• Collaborate closely with other departments and assist in business process optimization.
Required Skills & Competencies:
• Fluent in English and French (written and verbal).
• Highly proficient with ChatGPT and other AI tools for administrative purposes.
• Proficient in Microsoft Word, Excel, and PowerPoint (advanced level).
• Photoshop or other graphical tools experience is a plus.
• A degree in French language, Software Engineering, or any related field is preferred.
• Knowledge of Python, C#, or any other programming language is an advantage.
• Very organized, with strong public relations skills and the ability to multitask efficiently.
• A passionate learner, excited about new technologies and eager to grow within the
company.
• Knowledge and skill in using Microsoft visio to design process flow diagrams and BPMN
chart
