We are seeking a highly organized, proactive, and discreet Executive Assistant to provide top-tier administrative and strategic support to our senior leadership team. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and acts as a true gatekeeper and right-hand partner to the executive.
Key Responsibilities
- Manage complex and constantly changing calendars across multiple time zones; schedule internal and external meetings, calls, and events with precision.
- Coordinate domestic and international travel arrangements (flights, ground transportation, hotels, visas, detailed itineraries).
- Prepare and edit correspondence, presentations, reports, agendas, and meeting materials (often with tight deadlines).
- Act as the primary point of contact between the executive and internal/external stakeholders (board members, investors, clients, employees).
- Screen and prioritize incoming emails, calls, and requests; draft responses on the executive’s behalf when appropriate.
- Organize and maintain confidential files, records, and documents (both digital and physical).
- Plan and execute executive-level meetings, off-sites, team events, and board meetings (including logistics, catering, technology setup, minute-taking, and follow-ups).
- Track action items, deadlines, and deliverables across multiple projects; proactively follow up to ensure completion.
- Handle expense reporting, invoice processing, budget tracking, and personal errands as needed.
- Anticipate the executive’s needs and solve problems independently with minimal direction.
- Maintain absolute discretion and confidentiality at all times.
Qualifications & Requirements
- Bachelor’s degree preferred (or equivalent experience).
- 5+ years of experience as an Executive Assistant supporting C-level executives (start-up, tech, finance, or high-growth environments strongly preferred).
- Exceptional organizational and time-management skills with the ability to juggle multiple priorities flawlessly.
- Advanced proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and Microsoft Office Suite; experience with tools such as Slack, Asana, Notion, Expensify, Concur, Zoom, and Calendly is a plus.
- Outstanding written and verbal communication skills; polished and professional demeanor.
- Proven ability to work independently, exercise sound judgment, and maintain composure under pressure.
- High level of integrity and discretion in handling sensitive and confidential information.
- Flexibility to work outside standard business hours when required (early mornings, evenings, occasional weekends).
- Strong problem-solving mindset and “no task is too small” attitude.
Preferred Skills
- Experience in a high-growth startup or scale-up environment.
- Familiarity with CRM systems (Salesforce, HubSpot) and project management tools.
- Event planning and coordination experience.
- Ability to read and interpret contracts or legal documents is a bonus.
