This is not a traditional “Operations Specialist.”
You will be the operational co‑pilot to the Head of Product & Marketing—designing the connective tissue (processes, rhythms, and metrics) that lets multiple fast‑growing teams deliver consistent, compounding results. Think of yourself as the architect of how work flows, the facilitator who keeps OKRs real, and the coach who turns individual contributors into self‑managing pros.
What You’ll Do — Step by Step
- Co‑design the operating system
- Partner with the Head of Product & Marketing to blueprint and launch core processes—dashboards, reporting cadences, meeting architecture, and escalation paths.
- Start with “help” in mind: prototype quickly, iterate with teams, and refine until friction is gone.
- Build and orchestrate cross‑functional flows
- Map end‑to‑end workflows that touch multiple domains (e.g., UX writing across Product, Design, and Copy).
- Surface overlaps, hand‑off gaps, and bottlenecks; redesign flows so every stakeholder sees the same source of truth
- Engineer a scalable execution stack
- Combine lightweight sub‑systems (Jira boards, Notion pages, Confluence playbooks, etc.) into one coherent execution engine
- Continuously stress‑test the stack to ensure new tools or rituals complement—never collide with—existing ones.
- Facilitate roadmap & OKR alignment
- Guide leads and ICs in crafting outcome‑based OKRs that ladder into the product/marketing strategy.
- Keep the loop tight: review progress weekly, chase down unowned tasks, and lock clarity before work proceeds.
- Create a data nerve‑center
- Define the minimal‑viable metrics for each team; automate collection and visualization.
- Use insights to trigger structured retrospectives and “5‑Why” root‑cause sessions, turning data into decisions—not wallpaper.
- Drive continuous improvement, not just delivery
- Balance short‑term shipping pressure with mid‑term Kaizen: every project should leave the system stronger than it found it.
- Institutionalize post‑mortems and lightweight A3 problem‑solving so lessons outlive the people who learned them.
- Embed an agile mindset at every altitude
- Select and adapt agile ceremonies (scrum, Kanban, dual‑track discovery) to match the maturity of each workstream.
- Coach teams on slicing ambiguous work, managing dependency chains, and releasing value iteratively.
- Act as a force multiplier for leadership
- Assume ownership of well‑defined problem spaces on day 1; within months, define the problems yourself.
- Eliminate operational noise, freeing leaders to focus on strategy, talent, and customers.
- Coach self‑management and accountability
- Many leads have no direct manager. Provide frameworks and 1:1 support so they plan, prioritize, and report like seasoned operators.
- Embed a culture where commitments are public, metrics are visible, and follow‑through is non‑negotiable.
- Measure what matters—then raise the bar
- Track time‑to‑value, velocity, quality escape rate, and other fit‑for‑purpose KPIs.
- Regularly reset targets as the organization matures, ensuring that “good” today doesn’t become tomorrow’s ceiling.
